Assistant Program Coordinator
Position Summary
Reporting to the Program Coordinator, the Assistant Education Coordinator will provide administrative and clerical support to ensure the efficient operation of the Educational Programs.

Responsibilities:
After School Administrative Tasks
- Being a Problem Solver Leader
- Answering, directing and making phone calls within The education department.
- Reviewing files and records to answer requests for information
- Receiving, sorting and distributing incoming mail
- Maintaining filing systems
- Photocopying, typing, scanning and faxing
- Sending emails as appropriate
- Checking and entering data on DYCD system as necessary
- Updating and maintaining all other databases
- Monitoring and ordering office supplies
- Assist in handling parent communication
- Maintain daily logs (i.e. attendance, behavior and homework)
- Supervise arrival, lunchroom, early dismissal and dismissal
- Accept and process all after school and summer programming applications
- Process staff supply list for weekly activities
- Escort guest to the elevator with key card
- Support other departments as needed
- Support, supervise and direct other workers as needed
- Assist with placing orders
- Support/Supervise in escorting students from school locations.
- Plan and create memos for the group leaders
- Organize and assist with special activities
- Main coverage of staff who are absent
- Work with education specialist to help create lessons
- Create parent and staff calendars
- Assist with keeping files up to date
- Create and update staff emails
Experience Required:
- Strong computer skills: knowledge of Word, Excel, and Internet research required.
- Knowledge of administrative procedures, office management systems and procedures.
- High school diploma or equivalent and at least two years of experience in an office setting.
- Bilingual – Spanish/English a plus.

Physical Requirements And Working Conditions:
- Works in an office environment.
- Frequently sits for long periods of time.
- Frequently speaks, reads, writes, uses a computer and computer keyboard.
- May require occasional standing, walking, lifting, stooping, and bending.
