About the Organization
Casita Maria is a youth, family and community serving organization in the Hunts Point/Longwood section of the South Bronx. We were established in East Harlem in 1934 by Claire and Elizabeth Sullivan and Sister Mary Imelda who observed waves of Spanish-speaking people pouring in from Puerto Rico and in desperate need of services. While settlement houses were in place to address the needs of the poor, this population was made up of predominantly European immigrants. Seeing the disparity and isolation that Latinos were confronting, Claire, Elizabeth, and Sister Mary provided essential nutrition, housing, childcare, and educational support. What they could not know at the time is that they were championing social justice for what would become one of America’s most historically marginalized groups.

About the Position
This is a project intensive position. The work is highly administrative, task oriented and during events labor intensive. The candidate must have exceptional organizational, communication and project management skills and be fueled by a passion for Arts, Culture and Community. An ability to find joy in the workplace is a must!
Reporting to the Artistic Director, the Arts Program Coordinator will be responsible for coordinating logistics to prepare for the production of: the South Bronx Culture Festival, BronX BandA featuring Arturo O’Farrill concerts, exhibitions, murals, partner workshops and events, public programs plus assist with culminating events for young artists participating in Casita Maria’s after-school and summer day camp programs. The Coordinator will schedule and supervise event staff and vendors as needed.
The Coordinator will work a flexible schedule including nights and weekends based on Department needs and event/program schedule. Flex time will be provided to balance the workload. Event dates will be provided at the time of hire. Additional dates may be added to the calendar throughout the year.
The Coordinator will be supported by and collaborate with a team of professionals including the: Executive Director, Artistic Director, Director of Education and Programs, Teaching and Therapeutic Artist Coordinator, Associate Coordinator for the Teen Arts Apprentice Program, Community Outreach and Family Engagement Coordinator, Finance Department, the Department of People and Culture, event staff and vendors.
Overall Responsibilities
- Coordinate the logistics and production of Casita Maria’s internal and external Arts programs, booking and working with vendors, artists, event staff and partners. Help create and follow a run of show during events. Track attendance for each program.
- Manage the Casita Maria Gallery by maintaining the space, booking and leading visits/tours, booking and coordinating gallery vendors, organizing opening and closing celebrations, managing logistics for install and de-install.
- Assist with Casita Maria’s 11 piece Latin jazz ensemble BronX BandA by maintaining its music library, scheduling, and setting up/breaking down for rehearsals.
- Process Department invoices using Docusign and track payments in collaboration with the Finance Dept. Training will be provided by the Finance Dept.
- Manage Department calendars, schedule and coordinate all meetings, rehearsal dates and program-specific space usage along with associated building requirements.
- Train and manage seasonal staff to support Arts programming, including but not limited to: event staff, installation crews, security.
- Order all supplies for the Department, keep track of inventory and deliveries, assembly as needed.
- Assist with training and managing Teen Arts Apprentices to support the APC portfolio.
- Attend weekly check-in meetings with the Artistic Director to review upcoming tasks and to provide updates. The balance of the work week requires the Coordinator to work through a task list to prepare the Department for events and programs both short and long term. Attend team meetings as scheduled.
- Manage digital archive on Box.
- Represent Casita Maria at meetings and conferences related to Arts programs as needed.
- Attend professional development training as needed.
- Additional responsibilities as assigned.
Education and Experience Required
- Bachelor’s degree in a related field with a strong track record of 3-5 years of program management and production experience.
- Experience working with and supporting artists, including expertise in presenting culturally relevant and engaging visual and performing arts events in a community-based setting
- Experience working in an office environment and in the field.
- Experience managing multiple projects, both short and long term simultaneously.
Required Skills & Competencies
- Eager to work in a fast-paced arts and education-focused, event-based environment with an energetic, positive and passionate team.
- Excellent project management skills and ability to meet deadlines while maintaining high quality work and attention to detail.
- Ability to prioritize tasks on a daily basis. Manage day to day tasks with ease while working on long term tasks leading up to events/program launch.
- Must have excellent written, verbal and interpersonal skills. Must be able to provide timely communications.
- Strong computer skills required with knowledge of Google Suite, Docusign, Zoom, as well as the ability to source materials and/or vendors.
- Ability to work collaboratively, quickly and under pressure—with a sense of humor, integrity, and professionalism.
- Proactive, self starter, highly motivated, detail-oriented, ability to work independently and in team settings plus manage multiple projects simultaneously.
- Must be flexible and adaptable in the workplace and during events. Must be able to make decisions and problem solve in the moment while maintaining composure plus provide follow up as needed.
- Basic audio tech skills or willingness to learn.
- Spanish language/writing skills a plus but not mandatory.
Work Hours, Physical Requirements, and Working Conditions
Generally, works weekdays 10am-6pm in an office, school, and community center environment. Early evenings and weekends will be assigned based on the event/program schedule at certain times during the year.
- Must be able to lift a minimum 30 pounds.
- Will be required to move and set up furniture/supplies/equipment in a room or outdoor event space.
- Will require the use of a ladder.
- Will require standing for long periods of time.
- Will require walking, lifting, stooping, and bending.
- Will require working outdoor events during the hot summer months.
- Works in an office environment, plus outdoor and indoor event spaces both on and off site.
- Frequently speaks, reads, writes and uses a computer keyboard.
Compensation and Benefits

Currently, Casita Maria has approximately 15 full-time employees and approximately 35-40 part-time assistant program coordinators, group leaders, and teaching artists who lead after-school and summer camp programs.
About the Opportunity – For Immediate Hire
Casita Maria is seeking an experienced, organized, and detail-oriented Development Manager – Grants Researcher & Administrator – to be responsible for researching and identifying grant opportunities, preparing grant applications, securing grants of all types, and assisting in the management and reporting of approved grants in specified functional and program areas. Work is performed under the supervision and direction of the Executive Director and in collaboration with select Board and staff members engaged in fundraising activities. The person in this position will have the opportunity to lead and build a development department as Casita Maria expands its fundraising portfolio and program reach. Based on performance, the position has potential to grow into a Director of Development role.
The Development Manager is a member of the senior management team and has one direct report, a Develop Associate. Work requires independent judgment to determine courses of action, ability to develop and articulate presentations of facts, and support conclusions and recommendations. This is professional work of a specialized nature which involves problem solving and decision making; systematic investigation and research of community and City needs; determination and recommendation of programs which are fundable; securing of grants for selected programs; and monitoring compliance of grants and granted programs.
Primary Responsibilities
- Work closely with the Executive Director and members of the senior management team to develop and execute Casita Maria's annual fundraising plan consistent with the organization’s mission, vision, goals, program model and agency brand.
- Lead grants research, strategy, and pipeline development using an online grants management platform (Instrumentl) to identify private foundation, corporation, and government grants.
- Manage end-to-end grant lifecycle: proposal development, budgets, submissions, amendments, reporting (narrative and financial), and renewals.
- Manage CRM software (Bloomerang), internal spreadsheets, calendars, and compliance documentation.
- Manage the Procurement and Sourcing Solutions Portal for New York City (PASSPort).
- Support donor cultivation and stewardship; assist with communications and collateral as needed.
- Liaise with the Board of Directors to provide updates and engage them in fundraising activities, including annual appeals.
- Track metrics (KPIs) such as application success rate (ROI), funds secured, grant size, compliance, and reporting timeliness.
- Direct, supervise, and guide the Development Associate to support all fundraising activities.
- Establish and maintain positive working relationships, both internally and externally, to achieve the development goals of the organization.
- Represent Casita Maria at meetings, conferences, and networking events, in addition to coordinating engagements, site visits, and other funder opportunities virtually and in-person.
Qualifications/Experience Required
- Bachelor’s degree in fundraising, nonprofit management, public administration, communications, or related field (Master’s preferred) or equivalent experience.
- 3–5 years of grants research, writing, and administration in a nonprofit setting or arts/education sector.
Required Skills and Competencies
- Proven success securing private foundations, corporate grants, and government funding.
- Experience with donor databases and grant management software; CRM proficiency.
- Proficiency navigating the city’s procurement and sourcing solutions portal, PASSPort.
- Excellent written and verbal communication; strong storytelling with data.
- Strong project management, organization, and multi-deadline prioritization.
- Collaborative mindset with experience working across teams and with a Board of Directors.
- High integrity and ability to handle confidential information and financial data.
- Data-driven mindset with experience evaluating and reporting on outcomes and impact, and a fearless utilization of data and technology to help Casita tell a developing story.
- Strong computer skills: knowledge of Google Workspace, Microsoft Office, Mac, and other standard business technology is required.
- Ability to work some evenings and weekends to support special events.
- Bilingual – Spanish/English a plus.

Work Hours
Works weekdays 9am-5pm (10am-6pm is an option) in an in-office environment. Remote work options are extremely limited and subject to Executive Director approval and compliance with Casita Maria’s remote work policy. Must be available to work weekends and/or evenings, as needed.
Compensation
Salary range for this opportunity is $85,000 to $90,000 commensurate with experience.
